Construction Administrative Assistant

Location: Grand Forks, ND

General Purpose: The Construction Administrative Assistant will report to the project managers and assist with daily record keeping and random administrative tasks as needed.  This person will work closely with the project team, so strong communication skills, attention to detail and ability to complete a task start to finish and meet time restricted deadlines while maintaining high quality standards is crucial.

 

Work Schedule: 40+ hours per week Monday through Friday.

 

Responsibilities & Duties

  • Provide clerical assistance, which may include typing, copying, scanning, filing and record-keeping

  • Assist in establishing and maintaining subcontractor correspondence and documentation such as sending and tracking contracts, maintaining, and tracking bonds and insurance certifications for compliance with contract requirements, purchase orders, material deliveries & timely invoice receipts etc.

  • Assist in processing, tracking, and maintaining invoices, timecards, purchase orders, expense reports, billings, and other items as needed.

  • Assist with documenting and creating both fixed price and T & M billings

  • Assist with procurement of permits, site specific registrations and notifications as needed

  • Assist in preparing materials for meetings and ensure they are organized and distributed as needed

  • Assist in project close out, final reports, O & M Manuals, archiving etc.

  • Assist in establishing and maintaining Vendor, Customer and Sub-contractor relationships as needed

  • Assist with coordinating various job specific activities and events as needed

  • Alert the project manager to issues as they arise

  • Run Errands, deliver bids packages and drawings as needed.

  • Assist with answering company phone; Screen and respond to job specific telephone calls

  • Maintain strict adherence to the contract specifications, budgetary guidelines, quality, and safety standards

  • Participate in Company-provided training such as safety, non-discrimination, information systems and harassment prevention

  • Perform other duties as assigned

Requirements:

 

 Required Education

  • High School diploma or equivalent.

     

    Required Experience

  • 2 or more years of experience in construction projects.

     

    Required Skills/Licenses/Certifications

  • Excellent presentation, verbal, written and interpersonal skills

  • Self-Motivated/Team Player.

  • Active driver’s license with a driving record representative of a safe driving history.

  • Excellent communication skills.

  • Ability to plan and organize a team effort.

  • Capacity to motivate, lead and boost morale of the teams.

  • Effective time management and logical decision-making ability.

  • Capacity to handle pressure.

  • Computer literate.

  • Ability to meet deadlines; and

  • Strong focus on quality.
     

 

Physical Demands & Working Conditions

The overall nature of the position is sedentary in nature requiring little physical effort and occasional light physical exertion.  There is occasional exposure to environmental conditions such as heat, cold, temperature changes, industrial noise, and construction hazards usually accompanied by business travel and visits jobsites and clients.

  • The constant physical demands of the position are talking and hearing.

  • The frequent physical demands of the position are sitting, standing, and walking.

  • The occasional physical demands of the position are carrying, pushing, pulling, handling, repetitive motions, and eye/hand/foot coordination.

     

    Travel Requirement

  • This position may require over-the-road travel and occasional air travel.

     

    Required Personal Protective Equipment

    Employees must use hard hats, eye protection (ANSI Z87), hearing protection (where required), safety-toe protective footwear (ANSI Z41) and gloves as required by industry/construction safety standards or as deemed necessary by Company safety policy and procedure when away from the office setting.
